Administrative Assistant to the Diocesan Manager

Are you an organised, proactive, and welcoming individual looking to make a meaningful contribution to a vibrant faith-based organisation? The Anglican Diocese of Nelson is seeking an Administrative Assistant to support the work of the Diocesan Manager and the wider Anglican Centre.

This is a varied and dynamic position, providing high-level administrative, reception, and organisational assistance to ensure the smooth running of the Centre and the wider Diocese.

Key Responsibilities

  • Administration:  Executive support including email/calendar management, correspondence, reports, presentations, confidential records, meeting coordination, minute taking, and project support.
  • Reception:  First point of contact for visitors and enquiries, mail management, office supplies, and maintaining a tidy office environment.
  • Social Services Grants: Administer grant processes, liaise with applicants and committees, prepare documentation, and support grant allocation.
  • Communication:  Draft and distribute communications, maintain contact lists, assist with newsletters and notices.
  • Team Support: Assist Diocesan Office staff, help organise events/meetings (especially the annual Synod), and foster a collaborative team culture.
  • Health & Safety: Assist with fire drills, ensure workplace safety, and support compliance with health and safety policies.

Relationships

  • Exterrnal:  Parish staff, administrators, clergy, St Andrew’s Family Trust, grant applicants, community organisations, visitors, and suppliers.
  • Internal:   Diocesan Manager, Governance Support Manager, Bishop’s PA, Diocesan Office staff, Diocesan Committees, Bishop and Bishop’s Ministry Team.

 

 Person Specification

  • Skills & Experience: Proven experience in personal assistant, office administration, or similar roles. Strong organisational and time-management skills. Experience in grants administration or financial record-keeping is desirable. Proficiency with Microsoft Office Suite and digital communication tools.
  • Communication:   Excellent written and verbal communication. Professional and welcoming manner.
  • Interpersonal Skills: Ability to build positive relationships, handle confidential information, and work flexibly as part of a team.
  • Values & Attributes: Alignment with the values and mission of the Anglican Diocese of Nelson. Positive attitude, attention to detail, adaptability, and resilience.
